Business process automation

We remove manual data transfer between systems. Requests land in the CRM on their own, documents are assembled from templates, reports arrive in your messenger on schedule — and your staff are left with the work they were hired for.

What business process automation is

Business process automation means rule-based solutions: if A happens → do B. The logic is fixed in advance, and no AI “thinking” is needed. Integrating systems with one another belongs here too.

So automation starts not with choosing a tool but with describing the rules: what counts as an event, what has to happen next, who finds out if it did not. Where a rule cannot be written down and a person makes the decision every time, it is better to say so straight away — and look towards the AI direction.

What we automate

Not a complete list: if the task can be put as “if A happens → do B”, it belongs here too.

  • Document flow

Contracts, invoices, delivery notes and proposals are assembled from templates using the deal data — no copy-paste, no missing details and no “who has the latest version of the file”.

  • Reporting

Summaries from the CRM, accounting systems and spreadsheets build themselves and arrive in your messenger or inbox on schedule — always in the same format, so they can be compared.

  • System integration

CRM, ERP, inventory and payment systems kept in sync with one another — data should move from one service to another without manual transfer.

  • Sales and marketing

Automatic lead distribution, scoring by set criteria, pipelines with triggered actions, auto-filled CRM records, syncing with ad accounts.

  • Communications

Triggered email, SMS and messenger messages, notifications to customers and staff on events: payment, delivery, an expiring term and so on.

  • Warehouse and logistics

Real-time stock tracking, automatic reorders to suppliers when a minimum is reached, the catalogue and stock kept in sync with marketplaces.

  • Finance

Automatic invoices and delivery notes, payment reconciliation, reminders about receivables, integration with the bank and card acquiring.

  • Internal approvals

Requests for purchases, leave and business trips — routed through the chain of approvers, with statuses and reminders.

  • RPA — robotic process automation

Automating actions in systems without an API: when someone has to “press the buttons” for an employee in old interfaces or on third-party websites.

  • Monitoring and auto-response

Automatic alerts and actions when metrics deviate — for example, an automatic escalation when an SLA is overdue.

What the work includes

  • Process breakdown: where data is moved by hand and what it costs in hours
  • Links between systems: CRM, inventory, Google Sheets, the till, marketplaces, messengers
  • Documents from templates: contracts, invoices, delivery notes — no copy-paste
  • Reports that build themselves and arrive in your messenger
  • Alerts and escalations: who hears about a problem, and how soon
  • Manuals for the team — so that the automation does not fall apart a month later

How the work goes

  1. 1 Breakdown We break the process down step by step and count how many hours a month go on manual work. Without that number, automation is a matter of taste
  2. 2 Priority We choose what to automate first: where the hours are greatest and the exceptions fewest
  3. 3 Links We build the links between systems: CRM, accounting and inventory systems, spreadsheets, the till, marketplaces, messengers
  4. 4 Monitoring We set up alerts and escalations: who hears about a failure and how quickly, so that a breakdown does not surface a week later
  5. 5 Handover We write the manuals and hand over. Automation that only the contractor understands falls apart at the first change

What we connect

Automation is almost always a bridge between programs you already have.

Website and messengers with the CRM: a request from any channel lands in one pipeline with a status and an owner

Inventory and the online store: stock, prices and orders stop drifting apart

Marketplaces and the warehouse: orders, statuses and stock without manual exports every evening

Documents from templates: contracts, invoices and delivery notes with the details filled in from the deal

Reporting on schedule: a morning summary in your messenger, without stitching spreadsheets together by hand
